About this role
As Executive Assistant you will manage the receptionist, as well as leverage technology to support various Executive teams to (a) Manage the Products Director & CFO’s calendar, meetings, and appointments (b) Organizing and scheduling meetings and events (c) Provide administrative support to cross functional teams (d) Manage the Global Calendar, (e) Manage Housekeeping & Reception, (f) Support the CAN process, (g) Facilities Management, (h) Finance and procurement support, and (i) special projects. Tasks require creativity, a strong attention to detail and ability to deliver to tight deadlines working within a collaborative high-performance team.
With this in mind, you will make an impact from day one by:
Managing the Products Director & Chief Financial Officer’s calendar, meetings, and appointments
Organizing and schedule meetings and events as for relevant departments/teams
Providing administrative support to cross functional teams
Assuming responsibility for corporate administrative support services for CT cross-functional Teams
Managing the global calendar
Managing housekeeping & reception
Assumeingresponsibility for Facilities Management
Supporting the CAN support (1 – 10 requests per day: avg. 3)
Supporting the finance and procurement process
Participating and manage special projects
QUALIFICATIONS
Education level
Relevant Diploma/Degree in Office Management / Administration / Executive Support
Experience
5-10 years’ executive PA or office management or administration experience in a complex business environment essential
Special skills:
Highly efficient in written and verbal communication
Strong interpersonal communication skills
Able to work individually and as part of a team
Time management & ability to prioritise effectively
Able to build and manage relationships internally and with clients
Personal characteristics:
Comfortable using digital technologies to enhance productivity of individuals and teams
Attention to detail and problem-solving skills
Ability to prioritize and manage time effectively
Strong organisational and planning skills in a fast-paced environment
